Bankable by Design: Record Keeping and the Credit Gap

Why viable small businesses stay outside formal credit, and the practical record-keeping interventions that change lender decisions.

The problem is legibility, not viability

Many Ghanaian small businesses that decline formal credit are profitable. What they cannot do is demonstrate profitability in a form a credit officer can assess. Cash moves through personal mobile-money wallets, stock is tracked from memory, and household and business spending share one purse. The enterprise is viable but illegible.

What lenders actually read

  • Twelve months of dated inflows and outflows, however simple the format.
  • Separation of business and personal accounts.
  • Evidence of repeat customers or supply contracts.
  • A stock or asset list with purchase dates and values.
  • Any prior repayment history, including informal and supplier credit.

A minimum viable record system

RecordDiscipline required
Daily sales logOne line per sale, closed each evening
Purchases and expenses bookReceipt kept or noted the same day
Dedicated business wallet or accountNo personal withdrawals without a note
Monthly summary sheetSales, costs, margin, cash balance
Simple stock countMonthly, same date each month

Findings from clinic work

In record-keeping clinics run with enterprise groups, the decisive intervention is rarely software. It is the monthly summary sheet, because it forces owners to see margin rather than turnover and gives lenders a comparable series. Firms that maintain six consecutive monthly summaries move materially further in loan assessment than firms presenting a business plan alone.

Recommendations

  • Start with paper if paper is what will be maintained; digitise only after the habit holds.
  • Pair every training with three follow-up visits — habit, not knowledge, is the constraint.
  • Engage lenders early so that the format taught matches the format assessed.
  • Treat account separation as the first milestone, before any target on record quality.
